Administrative Assistant IIIMATRIX
MATRIX is in need of an Administrative Assistant to a department or individual. Duties may include word processing, filing, faxing, answering phones, receiving and directing visitors, scheduling, financial record keeping, coordinating meetings and conferences, obtaining supplies and sorting/distributing mail, compiling and assembling information, creating and modifying reports, and composing basic correspondence.
Hour info: Standard 8-hour day (e.g., 7:30–4 or 8–5). OT only during outage periods.
Duration: One year
Location: Primarily Minneapolis; alternatives available if candidate lives near Monticello or Welch/Red Wing, MN
Hourly pay range: $26-$29
Provide administrative support for the Projects Department across Minneapolis and fleet locations.
Responsibilities include scheduling meetings, coordinating departmental needs, preparing PowerPoint presentations, maintaining Excel spreadsheets, and supporting documentation tasks.
Assist with travel arrangements and monthly expense reports via Concur.
Coordinate with external vendors for supplies, food orders, and meeting arrangements.
Corporate fleet role; no nuclear badge required, but access to nuclear-related data requires 10-screening.
Supporting operational tasks as assigned.
Work on special projects as needed
Perform primarily office and non-manual work.
Perform work related to the management or general business operations of MATRIX or its customers/clients, while exercising discretion and independent judgment with respect to matters of significance to MATRIX and its customers/clients.
Interface with managers or head of a unit/department requiring the integration of multiple functional organizations.
Use “lessons learned” to improve quality of MATRIX’s future projects; make recommendations to MATRIX as to the implementations of future policies and procedures.
REQUIRED:
5–7 years of corporate administrative experience
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, SharePoint, Teams).
Strong customer service background.
Must be able to multi-task and prioritize
Communication, problem-solving, professionalism, customer service orientation, willingness to take initiative.
The ability to communicate well both verbally and written as a business necessity to ensure the safe and efficient operations of business. Clear, concise and effective fluency in the English language is essential.
PREFERRED:
Concur (travel/expenses).
Power BI.
UKG or SAP (helpful but can be trained).
